Depending on use, we may process account and business profile details; customer or patient contact details; appointment information; WhatsApp, SMS and call content; optional voice recordings and transcripts; calendar availability; billing and usage records; integration identifiers and encrypted credentials; and technical information such as IP addresses, browser details and security logs.

How information is used

We use information to provide account access, connect communication and calendar services, answer customer requests, manage appointments, send requested confirmations and reminders, prevent abuse, secure the service, provide support, process billing and comply with legal obligations. AI Secretary is administrative software and does not provide medical advice.

Service providers and integrations

Information is shared only as needed with infrastructure, storage, communications, artificial-intelligence, calendar, payment and security providers used to operate the service. Connected Meta or WhatsApp, Google, Microsoft, Apple, Twilio and Stripe services also process information under their own terms. We do not sell personal information.

Retention and security

We use access controls, encryption and tenant separation designed to protect information. Data is retained for the period needed to provide the service, meet configured retention settings and satisfy legal, accounting and security obligations. Authorized business users can manage or delete information through the portal.
